SBNA Board Meeting Minutes
Romaine Village Recreation Hall, 19940 Mahogany
Board President, Mike Lovely, called the meeting to order at 7:02 PM. Mike Lovely, Joe Barry, Dianne Crampton, Rod Cathcart and guest Seana Barry were present. Linda Spring and Dallas Patten were absent.
Joe Barry reported that we have $2,049.83 in the treasury after paying the Bend LaPine School District for the Mrs. Santa Party space, the entertainment guide and reimbursement to Dianne Crampton for Mrs. Santa Party expenses.
Mike Lovely reported that the neighborhood chairs decided to have 10 line items for their budget to report to the Bend City Council. Mike also reported that a couple of neighborhood associations backed out of the commitment to report the financial needs to the Council. During the Chairs and Officers meeting City Communications Manager, Andrea McCullough expressed that she was concerned that the neighborhood associations were going around her own efforts to secure funding and that she would take care of it. The bottom line, however, is that there is not currently enough money for all the neighborhood associations to send out the required two mailings to all residences and businesses within their boundaries. And there is not enough money for the City to create new neighborhood associations.
Mike would like to take the issues to the Budget committee. There was a discussion regarding the need to present a very professional appeal. Rod proposed and Dianne seconded that we compile a budget and proposal request for Mike to take to the Council’s financial sub committee and the visitor’s section of the Council meeting. The Board voted unanimously to direct Mike and Joe to prepare a budget.
Seana Barry was introduced to the Board. Mike nominated Seana to fill a member at large position on the Board. Joe seconded the motion. The board unanimously approved the nomination and appointment. Seana will serve until the April General Membership meeting. Her position is up for renewal in April.
The Board discussed Dianne’s intention to leave the position of Board Secretary in April to fill the vice president position taking her fundraising and communication duties with her to the next position. Seana volunteered to run for Board Secretary in April.
Mike reported on the Refinement Committee progress. Gladys Labsch, Judy Clinton and Mike Lovely attended the last meeting. Currently Judy Clinton is compiling the maps and Mike is researching the tax assessor’s information. The next refinement meeting will be March 7 at 7:00 PM at the Romaine Village Recreation Hall.
Dianne reported that Cherene Scherbinske has volunteered to build our website. She is currently working with the infrastructure now.
Mike Lovely discussed the Deschutes River Trail project which includes a bridge that will cross the river from the COID Canal to Mt. Bachelor Village. The Board approved the project and Mike sent a letter of approval to the City of Bend requesting that we be party to the process. Dianne was requested to communicate the project to the membership and gain their participation if possible.
The Board discussed that the City’s weed pull in June. Currently no one on the Board has the time to organize the weed pull.
The spring mailing regarding the spring general membership meeting was discussed. A copy of the Refinement Planning map and Mike’s President’s letter needs to be sent to Dianne this week in order to work it into the newsletter.
Mike reported that the Winter Festival booth went well. We have six new members. Dianne was given the applications to put them into the database.
